Hope 360 Initiative for Peace (HOPE360) is an independent national non-governmental, non-profit, humanitarian and developmental organization supporting relief and development work in Nigeria hoping to be around the world with a vision of creating a society where men and women have an equal opportunity to participate in every sphere irrespective of their sex, gearing towards rebuilding a wall of peace and restoring their hope for a sustainable development. HOPE360 programs assist persons on the basis of need, vulnerability, regardless of creed, ethnicity or nationality. HOPE360 works through local partners to implement its programs, therefore, strengthening and building the capacity of these partner organizations is fundamental to programs in every country in which HOPE360 operates.

 HOPE360 is a Nigeria based Organization and has been operating since 2018, with various humanitarian interventions being carried out in 2018 till date. Hope 360 Initiative works in the following thematic areas which include Health, Nutrition, Livelihood/Food Security, Education, CCCM/SHELTER/NFI, Protection, Peace Building and Conflict resolution.

The Finance and Admin Manager will be responsible for overall financial management, including budgeting and monitoring of project expenditures; financial reporting and auditing; forecasting expenditures; and maintaining and supervising project accounts, books of accounts, banking and financial operations, and all administrative work. He/she will advise the NPD and PM on all financial aspects of project operations

Duties and Responsibilities

Summary of Key Functions:

Under the direct supervision of the Project Manager the incumbent shall carry out the duties given below to achieve the mission:

Supervise and maintain financial and administrative records and monitoring systems to record and reconcile expenditures, balances, payments, statements and other data for day-to-day transactions and reports

Administrative support to the management programme including administration of budgets

Support to the project team in Borno, Accounting, Administrative and Financial Matters

Active support to resource mobilization, partnerships and networking issues

Prepare analytical report and TPP on Budget and Expenditure on a regular basis to produce in the AWP

Proper control of the supporting documents for payments and financial reports for all projects

Maintenance of the internal expenditures control system

Preparation of requisitions in Atlas and register of goods receipts in Atlas and make budget checks for requisitions, POs and vouchers.

Facilitation of information flow, coordination of schedule and other logistic arrangements

Lead the preparation and organization of meetings, workshops, seminars, outreach activities etc.

Ensure daily administrative and secretarial support to the team, including daily correspondences, maintenance of filing system, printing and photocopying, updating official travel and leave plan, visitor’s list and event list.

Select and enter data from a wide variety of documents, verifying accuracy by checking sources, making necessary calculations and assuring inclusion of all relevant data

Prepare recurring reports as scheduled and special reports as required for budget preparation, audits or other reasons

Advise and assist staff, volunteers and consultants on all issues of allowances, salary advances, travel claims and other financial matters; authorize payments due for claims and services

Prepare detailed cost estimates and participate in budget analysis and projections as required,

Maintain delivery records and make project transactions; maintain inventory of project assets; prepare IMED monthly, quarterly and annual reports; prepare ERD report; prepare fund release statements

Supervise the project vehicles, drivers and messengers as per HOPE360 & Govt. rules and regulations

Supervise the finance assistant and project associate

Perform any other duties assigned by the supervisor, Project Manager

Required Skills and Experience

Education:

 BSc, HND in Business Administration, Finance, Accounting or Management from a recognized university

Experience:

    Minimum of 2 years of accounting experience

    Experience managing finance and administration operations and reporting functions

    Demonstrable proficiency with Microsoft Word, Excel, PowerPoint, Access and other accounting tools

    Experience of working with Planning Commission, specifically GED/ MDG project will be preferable.

Language Requirements:

 Excellent communication skills, both verbal and written, in English
