Job Summary:
The Procurement Assistant will support the day-to-day procurement operations of CDHI to ensure efficient, timely, and transparent acquisition of goods, works, and services. The role includes assisting in the preparation of procurement documentation, vendor sourcing, quotations, bid evaluations, and ensuring compliance with organizational and donor procurement policies. This position requires excellent organizational, analytical, and communication skills, with a strong commitment to accountability and integrity.
Key Responsibilities
1. Procurement Planning and Support
- Support the Procurement Officer in the implementation of procurement plans for projects and operational needs.
- Prepare and process purchase requests, requests for quotations (RFQs), and purchase orders.
- Ensure all procurement actions follow CDHI’s and donor-specific procurement thresholds and guidelines.
- Assist in maintaining a procurement tracker to monitor requisitions, approvals, and deliveries.
- Follow up with vendors and service providers to ensure timely delivery of goods and services.
2. Vendor Management
- Assist in identifying and prequalifying suppliers and service providers based on transparent criteria.
- Conduct market surveys and price comparisons to ensure value for money.
- Maintain an updated supplier database with all necessary documentation (registration, tax certificates, etc.).
- Support the evaluation of vendor performance and maintain records of past transactions.
3. Compliance and Documentation
- Prepare and file all procurement documentation (bid analysis, quotations, approvals, delivery notes, etc.) in an organized and auditable manner.
- Ensure all procurement transactions are documented and authorized in line with CDHI policies and donor regulations.
- Support internal and external audits by providing required procurement records and clarifications.
- Maintain confidentiality and ensure transparency throughout the procurement process.
4. Logistics and Coordination
- Coordinate with the logistics team for receipt, inspection, and distribution of procured goods.
- Support inventory management and asset tracking to ensure proper utilization and accountability.
- Liaise with transport providers and warehouse staff for the safe and efficient movement of supplies.
- Assist in preparing reports on procurement activities, challenges, and recommendations.
5. Administrative and Other Support
- Support training and orientation of field staff on basic procurement procedures.
- Contribute to procurement process improvement initiatives.
- Perform any other tasks assigned by the Procurement Officer or Finance and Admin Manager.
Qualifications and Experience
- Bachelor’s degree or Higher National Diploma (HND) in Procurement, Supply Chain Management, Business Administration, Accounting, or related field.
- Minimum of 1–3 years’ experience in procurement or logistics, preferably in an NGO or development organization.
- Familiarity with donor procurement regulations (e.g., USAID, ECHO, UNICEF, WFP, or FCDO) is an advantage.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and basic understanding of procurement software/tools.
- Strong attention to detail and record-keeping ability.
- High ethical standards, integrity, and commitment to transparency.
- Strong interpersonal, negotiation, and communication skills.
- Fluency in English and at least one local language (Hausa, Kanuri, or Fulfulde preferred).
- Willingness to travel to field offices and project sites as required.
