 The International Committee of the Red Cross – ICRC- (www.icrc.org) is an independent humanitarian organisation, neutral and impartial. Maiduguri Sub Delegation is looking for a suitable candidate to fill the vacancy below

Under the supervision of the Water and Habitat (WatHab) Delegate, the Administrative Assistant contributes to the delivery of the Working Programme of the water and Habitat department in MIU, by providing support to the daily administrative running of the team and financial management of projects. 

Main Duties and Responsibilities

  • Assist in organizing and preparing meeting seminars, training sessions and workshops, by setting up rooms and materials, including technical set-up for calls, presentations and video conferences
  • Represents Water and Habitat department in internal meeting where necessary and take minutes and action points
  • Follows up with Logistics and Administration on contracts and supply orders from the department
  • Check and ensure together with colleagues, the quality and conformity of any invoice and financial document to be send to Logistics and Administration teams for payment.
  • Ensures proper handling and follow up with Logistics and Administration of SRs, Contractual documents payments, correspondences, handover and donation certificates etc
  • Coordinate with Field officers to draft the financial forecast, the monthly CDP and forwards them to the finance responsible and coordination assistant
  • Independently draft, formats and finalize all official correspondences, internal presentation and other documents to the ICRC standards and visual identity
  • Organizes Water and Habitat department internal meeting, prepare list of action points for follow up.
  • Ensuring effective archiving of WatHab projects files; pictures, footage and meta data (All projects invoice/contract and other support documents are completed and scanned—daily and are updated)
  • Keeps files up to date and ensures that records are managed properly on department internal working tools and the team space web page
  • Ensure daily update of WPA (Water Project Assistant software) progress reports of all Wathab project, screens them and forwards them monthly /or on request to coordination assistant at Abuja after the delegate validation
  • In charge of keeping, taking care and maintaining stationery stock and distributing watHab publication

Education and Experience Required

  • University Degree in Administration or a relevant field.
  • 2 years in the same field or similar role/experience
  • Good computer skills/Data analysis software/s 
  • Good command of written and spoken English

  • Very well organized, with good planning abilities.
  • Capacity to work within a team; Good inter-personal skills: ability to deal with people respectfully and showing empathy towards others, very good communication skills
