Main objective and responsibility of the position:
Performing the day-to-day implementation of Operation procedures and ensuring efficient administrative processes for one or more areas of the administrative running of the organizational protocols, standards and procedures in order to ensure the optimal running of the organization.
Key Areas of Accountability:
As a member of the Senior Management Team, you will contribute to:
Leadership of SMF Office:
- Support the development of an organisational culture that reflects our dual mandate values, promotes accountability and high performance, encourages a team culture of learning, creativity, and innovation, and frees up SMF team
- Help design and implement a coherent organizational structure that is consistent with agency practices and appropriate to program needs of SMF
- Help establish, maintain, and improve active and regular working relationships with host authorities, partner agencies including humanitarian and development donors, and local and international NGOs
- Ensure the Office complies with all SMF Management Operating Standards and Standard Operating Procedures
SMF Section/Context Specific Accountabilities
- Conduct and support services function to ensure that advice and support are provided to managers and staff on interpretation and application of policies and procedures and on other HR, general administration
- Ensure all Operation, Administration and policies and procedures manuals are developed and implemented, and follow the Nigerian government legal requirements and SMF policies
- Ensure appropriate personnel files, HR documentation and Procurement is maintained and secure in digital formats as a preferred option
- Supervise the development of dual mandate, Procurement, logistics, Finance and HR practices and processes aligned with the organization overall strategy and SMF Essential Standards to meet the evolving needs of the organization
- Ensure appropriate and adequate Operation procedures are detailed in the Office
- Provide ethical oversight and leadership across the SMF Office
- Ensure that staff are aware of and adhere to the Safeguarding and Code of Conduct policies
Roles and Responsibility
- Oversee all operations in the Office
- Having oversight of the Procurement & Logistics officer, the HR office and the administrative officer and their responsibilities in Asset & fleet Management, HR duties, Procurement & Logistics and general office management
- Assists in overseeing overall operations at the Office and provides operations guidance and oversight
- Works with finance team and technical leads to manage and forecast cash needs for the offices
- Regularly reviews operations practices, develops, and optimizes internal operations policies, and provides feedback on risk mitigation strategies
- Performs project procurement as per the procurement policies and donor regulations including maintaining vendor lists, solicitation of quotations/proposals, and documentation of procurement decisions and contracts, and managing vendor relationships
- Ensures timely receipt of quality services/goods and best value for the price; ensures that vendors are timely paid and procurement contracts are closed in order; manages office facilities, equipment, assets, IT, etc.; and maintains up-to-date assets registers
- Adheres to and trains relevant staff in all project administrative and operations policies and procedures
- Coordinates with operations team in the office to initiate vetting processes for vendors, consultants, new hires, etc.
- Ensures the fixed asset register of the project is up to date and comprehensive.
- Supports the Executive Director to ensure that all assets of the project are safe and secure

- Communicates clearly and confidently with others to engage and influence; promotes dialogue and ensures timely and building confidence and trust.

Requirements (Qualifications / Experience / Knowledge)

Education
Bachelor’s Degree in Management Science or any Social Sciences related discipline
Experience
At least 2 years’ experience in human resource related jobs or in the admin department
Languages
Essential English language and local language desirable
Knowledge
Computer literacy and usage of office technologies.
