Finance and Admin Assistance At International Society of Media in Public Health (ISMPH)


Location: Abuja, Nigeria
Reports To: Finance manager

Background:

The International Society of Media in Public Health (ISMPH) is a registered Non-Governmental Organization established to mainstream the media as a potent tool to accelerate healthcare information and delivery in Nigeria.

ISMPH is currently seeking a qualified and passionate State Program Officer (SPO) to join our team in Kaduna. The SPO will play a key role in advancing public health media advocacy efforts, with a strong focus on Primary Health Care (PHC) and Reproductive, Maternal, Newborn, Child, and Nutrition (RMNCH+N) services.

Job Summary

The Finance and Administrative Assistant will provide day-to-day support to the Finance and Administration unit to ensure effective financial management, administrative coordination, and compliance with organizational and donor policies. The role supports accurate financial records, smooth office operations, and timely reporting.

Key Responsibilities

Finance Responsibilities

  • Assist in the preparation and processing of payment vouchers, invoices, and staff reimbursements.
  • Maintain accurate financial records, including cashbooks, bank transactions, and supporting documentation.
  • Support monthly bank reconciliations and follow up on outstanding items.
  • Assist in payroll preparation, including salary schedules, statutory deductions (PAYE, pension, NHF), and staff advances.
  • Assist with withholding tax (WHT) computation and documentation.
  • Ensure proper filing (physical and electronic) of all financial documents.

Administrative Responsibilities

  • Support office administration, including filing, documentation, and correspondence.
  • Assist in procurement processes: request for quotations (RFQs), vendor documentation, and purchase tracking.
  • Maintain asset and inventory registers and support periodic asset verification.
  • Coordinate logistics for meetings, trainings, workshops, and travel.
  • Manage petty cash and ensure timely retirement of advances.
  • Support staff onboarding documentation and maintain personnel files.
  • Liaise with vendors, service providers, and consultants as required.

Compliance and Controls

  • Ensure compliance with organizational financial policies and donor regulations.
  • Support internal and external audits by preparing required documentation.
  • Maintain confidentiality and integrity of financial and administrative records.
  • Ensure adherence to internal control procedures.

Required Qualifications

  • Bachelor’s degree or HND in Accounting, Finance, Business Administration, or related field.
  • Minimum of 1–3 years relevant experience in finance or administration, preferably in an NGO or donor-funded organization.
  • Basic knowledge of Nigerian financial regulations and taxation.
  • Proficiency in Microsoft Excel and Word.
  • Experience using accounting software (e.g., QuickBooks, Sage) is an advantage.

Qualification

  • Bachelor’s degree or HND in Accounting, Finance, Business Administration, or related field.
