The Role

  • The Project Manager will lead the overall management of assigned projects.
  • S/he will be responsible for providing key day-to-day management oversight of assigned projects, including oversight and supervision of assigned channels of service delivery within MSION, and ensuring country programmes and support office teams are reporting, spending, and delivering as per proposal deliverables and objectives.
  • The role also includes strategic data analysis of programme performance and report compilation.
  • The role will build relationships across the organisation, including international operations. Furthermore, the role holds full responsibility for the management of the external partners that are strategic to MSION’s 2030 goals.

Key Responsibilities
Programme Management:

  • Ensure efficient management of assigned projects
  • Work with all departments, to ensure projects are implemented to a high standard and on budget
  • Provide oversight, advice and clear guidance to regional offices and operational and technical departments. This will include work planning, reviews (visits), reporting, budgets, and forecasting
  • Collate and analyse performance against deliverables and budgets. Ensure the submission of high-quality reports in a timely manner
  • Monitor project spending against budget (budget variance analysis), in collaboration with the local (country programme) donor finance team (DFT).
  • Organise and document quarterly review meetings and follow-up with operations to ensure action points are being actioned
  • Conduct and organise regional support visits to monitor progress against project priorities
  • Support the Programme Director in ensuring teams deliver on the commitments made to funders/donors and that learning is applied throughout the organisation and supports the wider country programme engagement strategy

Donor Management and Reporting:

  • Lead on day-to-day key communications with departments on issues relating to projects, including budgets, performance reviews, and reports.
  • Work in close collaboration with the Legal Compliance Unit and the Programme Director on all issues relating to compliance with relevant departments and units
  • Collation and analysis of programme performance data including leading on log frame management; support the programme’s quarterly, 6 monthly and annual donor reporting (depending on reporting needs) as data lead and lead on the narrative drafting and review
  • Ensure invoicing is done in a timely and high-quality manner to ensure zero delays in receiving donor payments
  • Ensuring clear project documentation systems are applied and up to date for all assigned projects
  • In conjunction with Programme Director, support the development of expansion proposals including writing, reviewing, and editing concept notes and proposals to a high standard, as required
  • Build strong external relationships, in particular facilitating coordination and learning across the implementing partners in the regional contracts
  • Actively participate in new business – proposal writing and mobilising new resources for projects

Channel Management:

  • Provide leadership and strategic oversight for the assigned channel of service delivery within MSION
  • Ensure clear communication to the team, convene regular review meetings and conference calls with teams for channel coordination; provide written and other guidance as necessary to disseminate vital information
  • Build strong internal relationships: proactively build relationships with key internal stakeholders across MSION to facilitate effective cross-team working. This includes working with operations, clinical services, human resources, procurement/logistics, finance, and technical services teams
  • Provide support remotely to teams and assist on regional support visits as required in accordance with work plans and deliverables
  • Lead the development of the service delivery channel business plan, on an annual basis, setting realistic projections and expectation
  • Obtain and maintain all necessary permissions and licenses to operate the channel, including informal acceptance in communities
  • Ensure the service delivery channel complies with all MSI internal standards – clinical quality, data quality and financial standards
  • Ensure compliance with donor rules and regulations, particularly funders of MSION service delivery channels
  • Organise and lead regular service delivery channel meetings. At a minimum lead a monthly review process from all team members using monthly performance data and other relevant data, analysing the performance and productivity of service providers to optimise operations.
  • Support finance/inventory, HR, and supply chain functions by ensuring all team members within the channel comply with policies and procedures, advising these functions on changes that would improve organisational efficiency
  • Mentor team members in successful leadership and core values of MSI/MSION. Collaborate with other departments to promote effective ways of delivering services, boosting team morale, fostering oneness, and promoting of MSION’s mission
  • Contribute to the overall flexibility of resource use in the team by undertaking other assignments or tasks in accordance with your skills and experience as delegated by the Director of Programmes

Qualifications
Qualifications and Training (essential/desirable):

  • Educated to Degree level or equivalent
  • Relevant higher degree/business qualification (Desirable).

Experience (essential/desirable):

  • Understanding of the sexual and reproductive health and family planning fields desirable
  • Ability to manage a heavy and fluctuating workload, in a high-paced environment
  • Ability to work under own initiative
  • Accuracy and attention to detail; highly numerate and analytical
  • Advanced Excel skills
  • Strong communication skills – both written and verbal; diplomatic and able to manage sensitive information
  • Highly developed interpersonal skills, including cross-team negotiating and relationship building.
