Personal Assistant to the Executive Director At International Society of Media in Public Health (ISMPH)

Job description is tailored for the International Society of Media in Public Health (ISMPH), an organization known for its focus on health communication, policy advocacy, and community-driven health interventions.

Reports to: Executive Director (ED)

Job Type: Full-Time

Role Summary

The Personal Assistant (PA) provides high-level, confidential administrative and strategic support to the Executive Director. This role is the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the ED. The ideal candidate is a highly organized, proactive professional who can manage complex schedules, facilitate communication between the ED and technical teams, and represent the organization’s values in high-level meetings.

Key Responsibilities

1. Executive Administrative Support

  • Calendar Management: Manage a complex calendar, prioritizing inquiries while ensuring the ED’s time is aligned with organizational goals.
  • Travel & Logistics: Arrange detailed travel itineraries, including flights, accommodation, and visas, ensuring all necessary briefing materials are prepared in advance.
  • Correspondence: Draft, review, and send high-level correspondence (emails, letters, memos) on behalf of the ED.

2. Strategic Coordination & Liaison

  • Stakeholder Management: Serve as a gatekeeper and liaison between the ED and government officials, donor agencies, media partners, and community leaders.
  • Meeting Facilitation: Attend board and management meetings to record minutes, track action items, and follow up with department heads to ensure deadlines are met.
  • Project Monitoring: Assist the ED in tracking the progress of various public health campaigns and grants to ensure they align with the Executive Director’s vision.

3. Documentation & Research

  • Briefing Papers: Conduct preliminary research on public health trends, policy changes, or potential partners to prepare the ED for speaking engagements and high-level panels.
  • Reporting: Assist in the preparation of monthly, quarterly, and annual reports for the Board of Directors and donor organizations.
  • Write Draft reports of all ED’s assignments on all jobs and projects for correction
  • Information Management: Maintain an organized digital and physical filing system for confidential documents and organizational records.

Candidate Profile

 Requirement/ Description

Education | Bachelor’s Degree or Higher National Diploma in Public Administration, International Relations, Mass Communication, or a Health-related field. |

 Experience 3–5 years of experience supporting C-Suite executives, preferably within an NGO or Health sector |

 Tech Skills | Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual meeting tools (Zoom, Teams).

 Communication | Exceptional written and verbal communication skills; ability to simplify complex health data into talking points.

Soft Skills : High emotional intelligence, Integrity, discretion with sensitive information, and the ability to work under pressure|
