 The International Committee of the Red Cross – ICRC- (www.icrc.org) is an independent humanitarian organisation, neutral and impartial. Port Harcourt Sub Delegation is looking for a suitable candidate to fill the vacancy below

Information Management Administrative Assistant (80%)

& Receptionist (20%)

Under the supervision of the Head of Sub Delegation and Flying Information Management Officer, the Administrative Assistant provides secretarial/administrative support and act as IM Focal Point to the PoH Sub-delegation.

Main Duties and Responsibilities

  • Welcomes visitors, provides them with information and directs them to the appropriate staff members; updates list and tables, telephone numbers, addresses, etc.
  • Answers and redirects incoming calls and answers callers’ questions
  • Participates to implementing of all information management projects or programs linked to Information Management, in subdelegation and sub-sites. Ensures that users understand the needs for change and supports these changes
  • Receives/distributes incoming mails, Prepares & dispatches outgoing bordereaux. Guides subsite colleagues on the procedure.
  • Checks all the outgoing correspondence to ensure that the ICRC protocol is followed in the sub-delegation.
  • Organizes dispatch of outgoing letters. Maintains incoming and outgoing Chrono files and ensures that all outgoing letters are acknowledged by the receiver through dispatch office
  • Supervises the management of paper in the sub-delegation with the Focal points
  • Briefs new staff on Information Management, correspondence protocol and on ICRC tools such as Lotus Notes and TeamSpace best practices.
  • Contributes to ensuring that rules for correspondence, document security, archiving and good usage of standard computer technology are properly followed and implemented. Trains users on regular basis.
  • Assists the management in daily secretarial tasks such as agenda, updating table, charts and contacts, meetings and VIP visits organisation, compilation of documents and writing simple correspondence.
  • In charge of managing stationery and ICRC items in the subsite.
  • Prepares for meetings by setting up rooms and materials, including technical set-up for conference calls, presentations and video conferences.

Education and Experience Required

  • University Degree in Administration or a relevant field.
  • 2 years in same experience
  • Good computer skills
  • Good command of written and spoken English

  • Very good writing and reporting skills;
  • Very well organized, with good planning abilities.
  • Capacity to work within a team; Good inter-personal skills: ability to deal with people respectfully and showing empathy towards others, very good communication skills
  • SALARY RANGE (Gross) – 290,800 – 319,900
