The purpose of functionality

Ensuring that all operations related to the Human Resources Department in Syria are conducted in accordance with the organization’s approved policies and procedures. Monitor, audit, and update human resources files, and ensure that all operations related to the life cycle of the team working on the organization’s projects in Syria, from recruitment to contract termination, are properly archived and documented within the specified timeframe.

Main tasks

  • Participate in the process of publishing job advertisements
  • Communicate and coordinate with recruitment committees and job candidates to schedule and conduct personal interviews and tests necessary for appointment.
  • Follow up on the documentation and procedures for organizing contracts with the organization’s work team and archive them correctly under the supervision of the direct manager and the technical manager.
  • Ensure that contracts comply with legal requirements in Syria and that employees are registered with social insurance on time.
  • Conduct an orientation tour for the newly appointed team and ensure they understand the organization’s policies and procedures.
  • Properly documenting the files of the entrusted trust to the team
  • Monitor and document team vacations and holidays and ensure they are archived correctly and on time.
  • Collecting and reviewing the team’s monthly timetables, archiving them appropriately, and submitting them to the technical and direct manager at the end of each month.
  • Monitor team records and ensure they are updated optimally and in a timely manner.
  • Preparing monthly reports and reports on recruitment operations in a timely manner and submitting them to the direct and technical manager.
  • Organizing and scheduling work meetings, preparing meeting minutes, and archiving them properly.
  • Handling team requests and inquiries related to human resources management in coordination with the technical manager
  • Follow up on the training provided to the team and document it properly.
  • Manage performance evaluation processes in coordination with center and project management, ensuring their timely completion.
  • Ensuring the documentation of contract termination processes, documentation of receipt of the pledge, and clearance of the team whose contracts have expired
  • Ensure that all papers, files and data provided to him/her are kept secure and maintain the confidentiality and privacy of work-related information.
  • Any other tasks related to the human resources specialty

Qualifications for the position

  • Bachelor’s degree or intermediate institute degree in a relevant field (Business Administration – Human Resources Management – Economics…)
  • At least two years of work experience in the field of human resources management
  • Previous experience working within NGOs is an added advantage.
  • Good knowledge of using Microsoft Office programs and Google Drive applications

  • Organization and ability to multitask flexibly.
  • Good computer skills with relevant software and advanced Excel experience.
  • Good English.
  • Commitment to the principles and procedures of humanitarian work.
  • Commitment to the organization’s vision, mission and goals.
  • Commitment to the Code of Conduct.
