Summary of Role

  • The Finance & Operations Assistant supports and works with the Senior Finance and Administration Officer (SFAO) in ensuring effective and accountable finance and operations systems at the Equal Access International (EAI) Country Office in Nigeria.
  • S/he ensures EAI-Nigeria achieves its program objectives through the finance, administration, and operational functionalities in place, which are compliant with home office policies, procedures, and local laws.
  • S/he will provides support to the Program team towards implementation of program activities.
  • The Finance & Operations Assistant is based in Kano and is supervised directly by the SFAO. 

Duties & Responsibilities

  • The Finance & Operations Assistant works with the SFAO to enhance appropriate financial duties and ensure internal controls systems work to safeguard the assets of the office to ensure efficient and effective financial functions.
  • S/he shall be the custodian of the petty cash and proper disbursement of the funds as the request is properly approved.
  • S/he will create vouchers for every transaction carried out, ensuring complete supporting documents.
  • S/he assists the SFAO on the month-end financial report submitted to EAI Headquarters, which are the monthly/annual country office financial reports and reconciliation of accounts, funds requests, and asset inventory reports.
  • S/he assists to ensure that program implementation and execution of activities are compliant with EAI’s internal policies and donors’ regulations.
  • S/he supports the SFAO where needed on the monthly payroll processing.
  • S/he ensures statutory remittances of payroll deductions to the statutory bodies (Board of Internal Revenue, Pension Fund Administrators, National Housing Fund, etc.)
  • S/he assists the Programs team in the preparation of activity budgets with activity SOWs for project implementation.
  • S/he assists in following up expenditures to ensure they are in line with the budget and relates findings to the SFAO where changes or deviations are identified.
  • In time of procurement, the Finance & Operations Assistant searches for vendors that are in line with the policy requirements, runs a WatchDog on all of them, and submits to the SFAO.
  • S/he collects quotes from vendors for the finance department and the relevant team/committee for their comparison and selections.
  • S/he sends out a call for applications and works with the SFAO in collection of bids, and formulation of bid comparison matrices. The SFAO will make recommendations for vendor selection in accordance with EAI policies and procedures.
  • S/he ensures inventory is kept up to date and in good working conditions with a sound inventory control system.
  • S/he maintains all project assets and stock items (inventories) with the knowledge of the SFAO; also ensures timely verification of assets, inventories at the office.
  • S/he assists the Human Resource Officer with the staff-hiring process in the country office, which includes screening of CVs, organizing interview sessions, and all other processes to select the best candidate.
  • S/he works on personnel documentation and filing systems to ensure compliance with the Human Resources Manual.
  • S/he works with the Finance SFAO to ensure compliance with local labor laws and EA policies and guidelines with regard to staff management, travel, and administration.
  • S/he assists on the yearly holiday update for the country office.
  • S/he manages the project vehicle administration activities to ensure proper upkeep of vehicles, proper maintenance, and usage as per EAI Nigeria policies. Also ensures logbooks are accurate in order to have complete transparency in its usage.
  • S/he runs WatchDog on vendors, partners, candidates, consultants, and clients to ensure they are not on the watch list.
  • Any other responsibilities as assigned or delegated by the office.

Qualifications

  • Bachelor’s Degree in Accounting, Business Administration, or any related subject
  • 2 years of work experience in accounting, finance, or any other related field or in a similar position in an international organization
  • Knowledge of QuickBooks
  • Proficiency in English and Hausa
  • Strong communication and interpersonal skills
  • Ability to work flexibly, outside of normal office hours, and in difficult condition
  • Ability to work and deliver outputs under pressure
  • Self-motivated and able to recommend constructive solutions to challenges
