The name Mines Advisory Group was established in the early days of the organisation, when it was decided that MAG’s initial role would be to draw the attention of the international community towards issues relating to mines and UXO. Between 1990 and 1991, the McGrath brothers carried out two assessment missions to Afghanistan and Cambodia, hoping that their findings would mobilise governments and international agencies into more purposeful action. In 1990, war-ravaged Afghanistan was a country of extreme disruption and immense suffering. Afghan refugees returning from Pakistan were being directed back to villages still contaminated by landmines and as a result were being killed or horrifically maimed. One young Afghan boy left a particular impression on Rae McGrath. “His small body had been absolutely shattered by a Soviet-laid POM-Z fragmentation mine,” he remembers. “When we were at the hospital, his family urged us to take his photograph to show the world the horrific impact of these weapons, which we did.” The boy died from his injuries hours after. His photograph was later used by MAG to highlight the dangers and deadly consequences of mines.

Overview of role:

The Finance Assistant will assist the Finance Officer/Unit with all financial matters related to the MAG Nigeria programme including administration and filing of all financial records and documents.

Responsibilities:

  • Responsible for accurate recording of financial transactions, expenditure and advances in the MAG cashbook on a daily basis.
  • Prepare bank reconciliation statements for all MAG accounts.
  • Ensure that all supporting documentation are reconciled (with receipts, bills, boarding passes, bank notifications e.t.c), stamped PAID, filed, serialized, scanned and archived as back- ups on the server/teams.
  • Manage the office imperest system. Maintain adequate cash balance in the office safe, conduct weekly cash counts, reporting any discrepancies to the Finance Officer (FO) immediately.
  • Monitor staff advances to ensure they are reconciled on a timely basis.
  • Ensure time sheets for all staff are completed with appropriate allocation percentages through regular reconciliation meetings with the appropriate Human Resource personnel.
  • Ensure that staff payslips are signed and archived on a monthly basis.
  • Assist the Finance Officer to ensure that accurate and complete accounting and relevant records are maintained and filed in a good order and easily retrievable.
  • Assist the FO to ensure that payments processed in line with financial and procurement policies and procedures.
  • Assist the FO with compliance visits when the need arises.
  • Provide support to all donor and internal audits in co-ordination with the FO. This will include the collation of documentation and provision clarity to the FO when required.
  • Any other administrative task as required by the Finance Department.

Essential requirements:

  • At least two (2) years of previous experience, working in a finance/administrative role (NGO or other international agency experience is an added advantage).
  • Previous experience in book-keeping/accounting and the use of spreadsheet.
  • Excellent attention to detail.
  • Previous experience of keeping good administrative records.
  • Good written and spoken English.
  • Good prioritization skills and ability to work calmly under pressure.
  • Good communication and interpersonal skills.
  • Self-motivated and flexible approach to work.
  • Interest in and commitment to MAG’s humanitarian mandate.
