El-Kanemi Memorial Foundation (EMF) is a non-governmental and non-profit Humanitarian organization established in 2017 with registration number RC 144331. Our prime Motto is: Impacting lives through the healing power of culture. EMF actions are based on the values of solidarity, justice, peace, human dignity, equal rights and opportunities for all people and respect for diversity and coexistence, paying particular attention to the most vulnerable segments of the population. Women and children are sole beneficiaries of our intervention.

EMF area of focus is Education, Gender Based Violence, Child Protection, Capacity Development and Early Recovery programme. EMF is working closely with the support of 447 traditional rulers across Borno State. EMF has been able to impact the lives of over 50,996 people in Borno from inception through its intervention on Education awareness and sensitization, Psychosocial Support, GBV sensitization and Engaging Men through Accountable Practice. EMF has also built the administrative capacity of 430 CSOs through its Capacity Development Programme in Borno, Yobe, Bauchi, Kano, Kaduna and Abuja.

Key Responsibilities:

  • To support the Finance Manager in the continued development and implementation of EMF overriding financial management and reporting framework and financial policies.
  • Maintenance of the internal control system which ensures that vouchers processed are matched and completed, transactions are correctly recorded and travel claims, are duly processed.
  • Ensure that staff advances, returns and claims conform to NRC standards and laid down policy before approval is made.
  • Establish a good tracking system for advances and ensure that clearance of advances is done on time.
  • Proper control, archiving and filing of all supporting documents related to payments for projects and Field Offices
  • Ensure timely corrective actions on un-posted vouchers, including the vouchers with budget check errors, match exceptions, unapproved vouchers.
  • Post all Office payments and ensure that correct coding of expenditure on all payment Vouchers, Purchase Orders and Purchase Requests is done.
  • Assign duties, supervise, train and appraise the Finance Assistant when applicable
  • Responsible for preparation and remittance of monthly taxes deducted from staff, suppliers and consultants on time to relevant authorities.
  • Contribute in the design, development and implementation of the financial management policies, procedures and practices
  • Support the Finance Manager in audit preparations and close outs
  • Ensure that all cash and bank payments are processed on time, fully approved and with high quality supporting documentation
  • Ensure daily and weekly cash counts are done for the area office and prepare the monthly reconciliation of the bank and cash accounts
  • Cover for the Finance Coordinator during absences
  • Review   payments,   purchase   authorizations   and   other   financial transactions to ensure compliance with Organisation’s policies, Generally Accepted Accounting Principles (GAAP) and donor’s rules/requirements.
  • Maintain a system to monitor and forecast cash requirements to meet administrative and project expenditures.

Administrative Tasks:

  • To provide general financial support as required for the office management and for the projects.
  • To prepare correspondence regarding taxation, social and health insurance, NHF, for review and prompt remittances.
  • Supports in preparation of monthly Bank Reconciliation
  • To maintain a strong financial filling system and manage filing the financial documents in both hard and electronic form.
  • Briefs new staff members or staff assigned to the Field on finance matters.
  • In close coordination with Finance manager coordinate replies to finance related audit comments

Audit and Partnership:

  • Ensure Implementing Partners submit timely and accurate financial reports.
  • Provide coaching and mentorship to partners’ Finance Staff in liaison with the Learning & Partnership Manager and the Finance Manager
  • Obtain, analyse, and evaluate accounting documentation, previous reports, data, flowcharts etc.
  • Prepare reports that reflect audit’s results and document process.

Qualifications and Experience

  • University Degree in Finance and Accounting (Chattered Accountant is added advantage)
  • At least 2 years’ experience in a Finance and Administration role with similar responsibilities.
  • Experience working with an international NGO will be an advantage.
  • Fluency in English and Hausa.
  • Strong computer skills and experience working with accounting software.
  • Experience liaising with a range of stakeholders regarding financial issues.
  • Excellent interpersonal skills and ability to work in a team.
  • Ability to work independently, prioritize tasks and to take initiative.
  • Strong attention to detail and problem-solving skills.
  • Strong work ethic and commitment to financial accountability and transparency
