Founded in 1973, Ipas is a global nongovernmental organization dedicated to ending preventable deaths and disabilities from unsafe abortion. Through local, national and global partnerships, Ipas works to ensure that women can obtain safe, respectful and comprehensive abortion care, including counseling and contraception to prevent future unintended pregnancies. Job Summary:

The Administrative Coordinator provides support to team members and visitors by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive.

Tasks & Responsibilities

  • May direct the work of clerical employees in lower job classifications.
  • Offer administrative support as needed, including (but not limited to) managing calendars, scheduling meetings, answering phones, and taking detailed messages.
  • Records and distributes minutes or other records for meetings.
  • Coordinates maintenance of office equipment.
  • Maintain efficient and smooth operation/management of office facility (cleaning, equipment repairs, utilities, water supply, generator)
  • Manage office consumables (office materials like stationery, cleaning & hygiene,): that will include collecting the requests on monthly bases, maintaining the stock, monitoring usage
  • Answers and transfers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Ensure that the office has adequate insurance cover for its assets.
  • Responsible for tracking renewal dates on the property and trigger actions to ensure compliance with the terms of the lease agreements
  • Regularly review and renew office equipment maintenance agreements where necessary
  •  Maintain accurate, complete, and up-to-date asset register and inventory list and share reports with the supervisor regularly.
  • Coordinate and track the movement of assets and update the Asset Register accordingly.
  • Conduct regular physical counts of assets and inventory.
  • Maintain proper records of disposal of assets (lost, damaged, sold, donated, stolen, or other)
  • Monitor the generator and inverter operation, monitoring the service schedule.
  • Performs other duties as may be assigned    

Minimum Requirements

  • Degree in Business Studies/Business Administration, Social sciences or any other related area.
  • Prior administrative experience
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
