Position Summary

  • Under the overall guidance and supervision of the Executive Secretary, the Admin/M&E Assistant will be responsible for supporting all MEAL and Administrative activities related needs of the project.
  • He/she will work to support the Executive Secretary in the planning, implementation and monitoring of the CYW activities, and ensure that reports are prepared, documented and shared with the Executive Secretary at the right time.

Reporting and Supervision:

  • The Admin/M&E Assistant will report to the Executive Secretary in close collaboration with the Executive Director who would the technical lead on this project.
  • Staff reporting to this post: Cleaners.

Job Responsibilities
Assist, and execute successful sourcing strategies for supplies, goods and services in line with procurement policy

  • Take and update inventory and asset register
  • Prepare and raise payment request
  • Manage and identify office repairs and maintenance
  • Identify quality suppliers and initiate relationships with these suppliers and contractors.
  • Negotiate with external suppliers and contractors to secure advantageous terms in a transparent manner
  • Prepare purchase orders in consultations with various team members
  • Coordinate bid comparison committee
  • Prepare contracts and agreements in line with organizational policy and government guidelines.
  • Foresee unexpected events through proper analysis and control measures
  • Propose updates and reviews to procurement policy accordingly
  • Control spending and build a culture of long-term savings on procurement
  • Any other duties assigned.
  • Work closely with the Executive Secretary and MEAL Officer in conducting all Office and MEAL activities, including the preparation of materials, planning of training, training Facilitators, data collection supervision, data cleaning and analysis.
  • Leverage strong quantitative skills to design surveys, analyse data, and mentors, Facilitators teams
  • Provides support in creation of strategic partnerships and implementation of the resource mobilization strategy.
  • Provides support in ensuring facilitation of knowledge building and knowledge sharing.
  • Perform any other support functions as directed.
  • Provide support in implementing a Robust Friendly Feedback Mechanism in line with Mentors International policies and guidelines.
  • Contribute to all activity implementation, including periodic monitoring of life-skill
  • Ensures that Mentors International’s global policies for Safeguarding Young People and Gender Equality and Inclusion are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Mentors International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.
  • Implement other task within the organization, as assigned by the line manager.

Job Requirements

  • Bachelor’s Degree (or equivalent) in Project Management, Social Sciences, Mathematics and Statistics, Business Administration, Management Accounting, Economics, or related academic fields.
  • Minimum of one year NGO working experience
  • Team player, able to work respectfully and cooperatively with colleagues of different national and cultural backgrounds.
  • Excellent organization, and record/file keeping skills to ensure information, knowledge, and data are reviewed, maintained and monitored.
  • Demonstrated personal commitment to peace, tolerance and development
  • Good oral and writing communication skills.
  • Proficiency with Microsoft Office suite, office workspace etc
  • Fluency in English.
