Background information
Jireh Doo Foundation (JDF) is a women-led National Non-governmental organization registered with the corporate commission (CAC) in Nigeria, under the CAMA act 11990 on 4th of August 2008.
Jireh Doo Foundation (JDF) in 22 years has consistently responded to both developmental and Humanitarian needs across local communities in Nigeria.
JDF works in 5 thematic areas of Gender and Humanitarian Response, HIV and Health, Child Development, Research and Information, Single Parents, and covers four states of Borno, Gombe, Nasarawa and Benue.
The Humanitarian response programme in North-east (BAY states) Nigeria covers responses in

  1. Protection (child protection, GBV, peace building and climate change and Mines Action)
  2. Water Sanitation and hygiene (WASH)
  3. Nutrition and health
  4. Food security and Livelihood and
  5. Education

JDF operational presence spans across the following zones in Nigeria

  1. Northeast- Borno, Adamawa, Bauchi, Gombe and Yobe state.
  2. Northwest-Sokoto, Kano, Jigawa, Katsina and Zamfara State (operational interest)
  3. Southwest- Lagos, Ogun, and Ondo state.
  4. North central-Benue, Kwara, Nasarawa and Plateau state.

JDF is seeking suitable candidates with a bachelor’s degree, or its equivalent and a minimum of two (3) years. working in a similar role as an Administrative Officer and is familiar with EU programming with minimum of three years’ experience working as an Administrative Officer to implement a SOSAN (EU) funded project in Kebbi State.
Duties and responsibilities
⦁ Responsible for procurements of assets to the state offices in line with JDF procurement policies as well as vendor management and other service providers contracting (including security and IT); 
⦁ Will ensure updated records and valid documentation for all vendors and other service providers. Ensure that consultants are registered
⦁ Verify invoices against purchase orders and delivery receipt and ensure that delivery is done within the stipulated time.
⦁ Liaise with program staff for transactions above the admin threshold.
⦁ In line with the programme budget and working closely with the finance officer, ensure value for money of all procurements for programme activities carried out in the state 
⦁ Ensure prompt payment of third-party vendors
⦁ Manage the usage of the daily vehicle Checklist/Fleet visit.
⦁ Maintain vehicle files in your region.
⦁ Regular update of maintenance and repair invoices, people’s data, and fleet data.
⦁ Supervising vehicle log sheet and sign off on them monthly 
⦁ Regularly inspect and service vehicles. Report any issues immediately.
⦁ Management of dispatch of stocks and other items either by third party logistics or internally.
⦁ Follow up with courier companies to ensure items dispatched are delivered at the right place, time, price, quality, and quantity. Oversee all logistic arrangements including maintaining an updated record of events, travel itineraries of staff and short-term consultants (as applicable) to ensure proper delivery and satisfaction of service to the project 
⦁ Responsible for negotiations with hotels, travel and transport services and overseeing general logistics for field/state activities
⦁ Provide logistics support for internal and external meetings, events, workshops and training.
⦁ Prepare and distribute correspondence, reports, and documents.
⦁ Coordinate the administration and logistics of the programme office on all field related activities in the state.
⦁ Coordinate travel arrangements, meetings, and event
⦁ Maintain record of asset movement and acquisition
⦁ Capture the details of all assets in use by a team member transferred to or from your region, and update on the asset register
⦁ Conduct physical verification of assets and inventory annually.
⦁ Provide support to the team by overseeing the management and maintenance of office assets, utilities, office equipment, consumables, and supplies. Responsible for the effective maintenance of all IT equipment and computers in the office 
⦁ Creating files for Team Members
⦁ Support in getting work tools for Team Members
⦁ Retrieve organizational assets from departing employees.
⦁ Administrative support to relieving employees and getting the exit forms ready.

Qualification and Experience
Essential:
⦁ Minimum qualification: (BSC, HND) Business Administration, Public Administration, Office Management or any Social Sciences, Humanities related discipline
⦁ Minimum of 3 years and above with experience in procurement, store management HR support
⦁ Managerial and supervisory experience
⦁ Flexible and able to manage stress.
⦁ Ability to provide training and supervision to others.
⦁ Strong organization, time management and multitasking abilities
⦁ Excellent written and verbal
⦁ Attention to detail, problem-solving, and interpersonal skills.
⦁ Ability to handle confidential information and work independently.
⦁ Knowledge of Hausa language will be an asset.

Knowledge skills and Abilities
⦁ Ability to prioritize and handle multiple tasks simultaneously.
⦁ Advanced computer skills, including the ability to type quickly and to use Microsoft Office products, email, and the internet.
⦁ Ability to maintain confidentiality for sensitive issues or projects and use judgement to execute duties and responsibilities.
