Finance Assistant At Salient Humanitarian Organization (SHO)

Job title: Finance Assistant
Locations/Duty Station: Borno State (Maiduguri)
Reporting to: Project Coordinator

General context of the Job/Project

  • This position’s goal is to make sure that the Project is financially accountable and to deliver
    timely and accurate financial data. For tasks involving finances (such as payments, budgeting,
    managing cash flow, reporting, auditing, etc.), the position holder serves as the finance focal
    point.

Task and Responsibilities

  • Assist the CFM in the preparation of the quarterly and year-end financial schedules.
  • Support the review of project payments issued before sign off by Plan Authorised Managers.
  • Controls and reports the fields fixed assets and reconcile the logistics inventory records with
    the actual existed assets in the fields
  • Follows up and closes the pending amounts of the fields’ staff.
  • Checks and collects the fields financial documents (invoices, receipts, attendance sheets…etc)
    and supply them to Maiduguri finance office for archiving and safe keeping.
  • Ensures integrity of all financial supporting documentation, proper filling and archive thereof to
    satisfy SHO regulations;
  • Supports the projects staff in any related financial issues like volunteers’ payments, casual
    workers, guards, housekeepers and ensures strict compliance in following appropriate
    payment documentation.
  • Carries out periodic checks for the logistics works in the fields and collaborates with the
    logistics staff for any needed financial support.
  • Carries out the cash movements from Maiduguri office to the fields according to the projects’
    managers requirements and cash requirements forecast.
  • Registers the fields expenditures in the sub PN and reports his daily PN to Maiduguri Finance
    officer to check and consolidate.
  • Monitors the fields staff pending aging and liaise with them to close the pending in accordance
    to the specified maximum aging in SHO Control Model.
  • Assists the finance team in the monthly/yearly closing and projects financial closing
  • Prepare a report each month comparing the budget to actual spending.
  • Prepare the Project’s dedicated bank account Target Bank Balance (TBB) report.
  • Prepare the monthly Partners unliquidated advance report.
  • Make a monthly support visit to the project partners and submit report.
  • Carry out identified capacity building trainings for partners.
  • Follow up with prepaid expenses, accruals etc., on the projects and submit to the CO.
  • Ensure payments made are as per Plan’s approved policies, procedures, and that of the donor
    rules and regulations.
  • Review the finance sections of purchase requisitions, advance requests, liquidations, and
    purchase orders for financial conformity with respect to the project.
  • Prepare project’s financial audit action list after each audit and ensure compliance.
  • Ensure all expected costs are timely and accurately recovered from the project
  • Any other duties as may be assigned by the Project Coordinator;

Essential knowledge and skills:

  • University degree in Accounting or equivalent/ professional qualification.
  • At least 2 years’ experience in a similar role.
  • Some familiarity with project management and grants.
  • Knowledge and use of accounting
  • Preferred experience: knowledge of and experience with the key donors in the industry is
    strongly preferred.
  • Experience assisting subgrantees with capacity building is strongly preferred
  • Experience working with sub-grantees required

Preferred experience:

  • Good Reporting and analysis skills
  • Manage and organize information systems, establish and maintain filing systems
  • Strong interpersonal and team-building skills and excellence as a team player
  • Excellent command of English and local language oral and written.
  • Background/familiarity with Emergency.
  • Must possess the ability to learn with speed and ease.
  • Good computer skills (Microsoft Office: Word, Excel, PowerPoint presentation etc.) are an
    added advantage.
  • Knowledge the use of Google Drive
  • Strong sense of responsibility, methodical and accurate with high organizational skills
  • Communicates clearly and effectively
  • Excellent and demonstrable experience in grant and financial management.
  • Knowledge and understanding of Nigeria’s policy environment
  • Capacity to build and maintain relationships and to work effectively in a multi-cultural and
    multi-ethnic environment respecting diversity
