Job Description/ Summary:

  • Responsible for financial management and administration for Debriche Health Development Centre by managing all accounting transactions, reconciliation, reporting, period-end closing and organization of financial documents and records.
  • The Accountant is required to liaise, with external stakeholders, as needs present, and resolve matters impacting the organization’s financial affairs.

Scope of work:

Accounting

  • Manage all accounting transactions and effectively plan, and execute monthly, quarterly, and annual closing
  • Prepare operational and capital budgets, including those for annual work plans.
  • Upload the annual operating budgets into the accounting system for comparative analysis and control purposes.
  • Maintain financial books of accounts and records for DHDC, including those related to the CFCS project, in accordance with prevailing requirements.
  • Prepare weekly/monthly bank reconciliations for all bank accounts.
  • Analyze and prepare reconciliation of all the balance sheet accounts every month, and resolve reconciling items within 30 days.
  • Responsible for ensuring and processing payments according to approved budgets, work plans, and policies, including contractual obligations to the Stop TB Partnership
  • Render periodic reports (i.e., monthly/quarterly/annually) in the required formats.
  • Maintain all supporting documentation for the annual year-end audit in organized binders/accessible digital copies.
  • Liaise with the internal/external auditors to get project financial statements audited and follow up on any audit queries/management letters with a view to resolving them.

Financial Management and Compliance

  • Maintain and update the accounting system to manage financial operations, including bookkeeping, reconciliation preparation of the periodic unaudited financial statement, and financial reports
  • Keep abreast of changes in financial regulations and legislation and ensure the accounting staff is updated on new developments
  • Maintain and update as needed the financial procedures manual and accounting system manual.
  • Implement and recommend enhancement of the project’s systems of internal control.
  • Report any internal financial shortcomings and irregularities.
  • Ensure that accounting records are accurate and current are easily retrievable for operational and audit purposes, and copies of these are retained as per any laws/regulations or legal agreements
  • Support the programme team in the tracking of and reporting on mobilized resources
  • prepare required budget revisions, and project status, determination of unutilized funds, operational and financial closure of the projects
  • Support the programme team in the financial management of the project.

Administration and Data, Records Management

  • General administration: Maintain operational and corporate records and data to ensure security accessibility and compliance with normative needs
  • Undertake additional administrative duties as reasonably directed by the Executive Director and Technical Lead to contribute to the operations and goals of DHDC
  • Provide administrative support to the programme team in the organization of events, meetings, workshops, etc.
  • Make travel arrangements for the programme team and project staff, including preparation of travel requisitions and claims.
  • Maintain and organize up-to-date hard and electronic files for easy access and retrieval.
  • Create and maintain files of correspondence/documents and electronically received information, and ensure up-to-date filing.
  • Maintain both hard copies and electronic copies of the office records and reference files on various subjects.

Required Qualification and Experience:

  • Post-secondary degree in accounting, finance, or business administration (accounting)
  • Professional qualification in accounting or financial management, registered by and attained the final qualification of an accounting or financial management recognized professional body, e.g. ANAN, ICAN
  • At least 3 years of experience in accounting, audit, or financial management
  • Excellent written and oral communication skills in English, to deliver technical, financial documents, and reports.
  • Excellent computer skills in Microsoft Office tools (Word, Excel, and PowerPoint), including database use, is required

Desirable Qualification and Experience:

  • Work experience with financial services
  • Work experience with Non-Governmental Organisations
  • Understanding of NGO context of financial management
