Public Enlightenment Projects (PEP Nigeria) is a women-led, civil society organization registered with the Corporate Affairs Commission (CAC) under Incorporated Trustees with Reg. No:12745 committed to strengthening democratic institutions, improving citizens engagement and participation in governance and supporting education, health and safe migration with offices in Abia, Ebonyi and Katsina states.

Details

  • Public Enlightenment Projects, PEP Nigeria, a women-led civil society organization (CSO) is currently implementing a USAID-funded State2State subgrant in seven Local Government Areas in Ebonyi State.
  • The CSO is seeking applications from qualified and competent candidates to fill in the position of Administrative Officer for a USAID-funded subgrant from DAI State2State project in Ebonyi State.
  • The successful candidate will support the smooth running of the daily administrative operations of PEP Nigeria Ebonyi State office.
  • The ideal candidate will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

Key Duties & Responsibilities

• Organize office and assist staff in ways that optimize procedures

• Sort and distribute communications in a timely manner

• Create and update records ensuring accuracy and validity of information

• Schedule and plan meetings and appointments.

• Perform receptionist duties when needed.

• Oversee clerical tasks, such as sorting and sending mails.

• Maintaining files.

• Answering phone calls

• Taking and delivering messages

• Ensuring the office runs smoothly

• Scheduling meetings and sending meeting invites to attendees

Requirements:

• Knowledge of “back-office” computer systems (ERP software)

•Thorough and firm understanding of office management procedures

• Excellent organizational and time management skills

• Analytical abilities and aptitude in problem-solving

• Excellent written and verbal communication skills

• Proficiency in MS Office packages especially Ms Word, MS Excel and PowerPoint.

• Proven experience working with NGOs as an administrative officer or in another relevant administrative role  is an added advantage.

Education Qualifications:

• First level degree in Ssecretarial studies or other related field.
