Job Title: Admin Officer – Internal

Location: Maiduguri, Nigeria

General Context of the Job/Project:

The Admin Officer responsible in ensuring compliance with administrative, financial, and HR procedures within SHO projects. Under the supervision of the Admin/Finance Manager, this position is responsible for providing administrative, clerical, finance, and HR support to SHO operations.

Tasks and Responsibilities:

  1. Ensure compliance with SHO and donor rules and procedures regarding administrative, financial, and HR matters related to the project.
  2. Provide administrative support, including scheduling meetings, managing correspondence, and organizing travel arrangements for project staff.
  3. Assist in the preparation of reports, documents, and presentations as assigned by the Admin/Finance Manager or project leadership.
  4. Maintain accurate and up-to-date filing systems for administrative, financial, and HR documents, ensuring easy retrieval and compliance with record-keeping requirements.
  5. Support finance-related tasks, including processing invoices, maintaining petty cash, and reconciling financial transactions.
  6. Assist in HR functions such as recruitment, onboarding, and personnel file management, under the guidance of the Admin/Finance Manager.
  7. Collaborate with other team members to ensure smooth coordination and communication across different departments and projects.
  8. Provide logistical support for workshops, trainings, and other project events, including venue booking, catering arrangements, and procurement of materials.
  9. Assist in the preparation and monitoring of project budgets, providing input on expenditure tracking and financial reporting.
  10. Perform any other duties as assigned by the Admin/Finance Manager or project leadership to support project implementation.

Essential Knowledge and Skills:

  1. Bachelor’s degree in Business Administration, Public Administration, Finance, Human Resources, or a related field.
  2. Previous experience in administrative, finance, or HR roles, preferably within the humanitarian or development sector.
  • Familiarity with administrative, financial, and HR procedures, including donor regulations and compliance requirements.
  • Strong organizational skills, with the ability to prioritize tasks, manage time efficiently, and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to work effectively in a team-oriented environment.
  • Proficiency in MS Office applications, including Word, Excel, and PowerPoint.
  • Attention to detail and accuracy in data entry, record-keeping, and documentation.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility and adaptability to work in a dynamic and fast-paced environment.
