Job Title: Admin/Finance Manager-Internal

Location: Maiduguri

General Context of the Job/Project:

The Admin/Finance Manager is responsible for the proper administration and financial management of SHO and donor resources across the country. Will play a key role in overseeing budgeting, financial reporting, banking relationships, payroll management, and other administrative and financial functions.

Tasks and Responsibilities:

  1. Develop and implement administrative and financial policies, procedures, and systems to ensure effective and efficient management of SHO and donor resources.
  2. Oversee budget planning, preparation, and monitoring processes, working closely with program managers and other stakeholders to ensure alignment with program objectives and donor requirements.
  3. Coordinate the preparation and submission of financial reports to donors, government authorities, and other stakeholders, ensuring accuracy, timeliness, and compliance with contractual obligations.
  4. Manage banking relationships, including opening and maintaining bank accounts, processing payments and transfers, and reconciling bank statements.
  5. Maintain the organization’s balance sheet, ensuring accurate recording of assets, liabilities, and equity, and conducting periodic reviews and audits to ensure financial integrity.
  6. Oversee the processing of staff salaries, benefits, and allowances, ensuring compliance with SHO policies, legal requirements, and tax regulations.
  7. Provide budgetary analysis and financial forecasting to inform decision-making processes and resource allocation strategies.
  8. Ensure compliance with relevant laws, regulations, and donor requirements related to financial management, procurement, and administration.
  9. Provide technical support and guidance to SHO’s administrative, finance, and human resources staff, including capacity-building initiatives and performance management.
  10. Collaborate with internal and external auditors to facilitate audits of financial records and ensure compliance with audit recommendations and corrective actions.

Essential Knowledge and Skills:

  1. Bachelor’s degree in Finance, Accounting, Business Administration, or a related field. Professional certification such as ACCA, CPA, or CIMA is preferred.
  2. Minimum of 5 years of experience in financial management and administration, preferably in the humanitarian or development sector.
  • Strong understanding of financial principles, practices, and regulations, with experience in budgeting, financial reporting, and grants management.
  • Proficiency in financial software and systems, with experience using accounting software such as QuickBooks, SAP, or similar platforms.
  • Excellent analytical and problem-solving skills, with the ability to interpret financial data, identify trends, and provide strategic recommendations.
  • Strong organizational and time management skills, with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Excellent interpersonal and communication skills, with the ability to collaborate effectively with diverse stakeholders and work as part of a team.
  • High level of integrity, professionalism, and attention to detail in handling confidential and sensitive information.
  • Proficiency in English (written and spoken) is required. Knowledge of local languages spoken in Nigeria is an asset.
