Job Summary
Act as the organization focal point in absence of the Program Manager, the Program Assistant provides administrative assistance to other Program team and handle several administrative support and maintain high confidentiality.
Duties and Responsibilities (Day to day activities)
- Maintains confidentiality of all information of the organization;
- Assists other team members in preparing and formatting documents, including PowerPoint presentations;
- Develop and maintain accurate filing system for the team.
- Coordinates the translation, proofreading and editing of documents as required;
- Takes minutes of team meetings and other meetings and share it with the Executive Director and Program Manager as required;
- Assists team members on inputting and editing project reports on weekly and monthly basis.
- Assists in the onboarding and orientation training of new employees in the office.
- Supervise Project staff at various project location and perform any other tasked assigned by line manager.
- Maintain all office properties and supplies ensuring the availability of office stationaries and consumables.
- Prepare bi-weekly/monthly reports and share with to the team.
Requirements
- Possess a Degree in Social science or related field.
- Possess computer skills with at list two years’ experience (having a personal laptop will be a plus)
- Possess the ability to prepare report and conduct trainings.
- Should be multitasking and can work with little or no supervision.
- Should Possess excellent written and verbal skills in English including ability to use Microsoft office packages.
- Be willing and able to travel regularly to field sites and monitor activities.
- Have strong understanding of project life cycle management, monitoring and evaluation.
- Be flexible and able to work within a multicultural team.
