Procurement Officer At Grow Strong Foundation (GSF)

Grow Strong Foundation (GSF) is a child-focused, women and youth-led non-profit organization established in 2017. GSF is providing humanitarian assistance to Children, IDPs, and other highly vulnerable individuals in collaboration with NHF, UNICEF, and Norwegian Refugee Council (NRC) in Northeastern Nigeria. As part of our commitment to achieving the objectives of our strategic plan, GSF is seeking a qualified candidate to fill the vacant position.

 

Location: GSF HQ, overseeing field offices in Borno State
Reports to: Logistics Manager / Head of Operations

Purpose of the Role

The Procurement Officer will lead and manage the procurement of goods and services for Grow Strong Foundation’s programs. This role ensures compliance with donor regulations, organizational policies, and ethical standards. The officer will oversee vendor management, procurement planning, contract administration, and contribute to efficient resource utilization across all projects.

Key Responsibilities

Procurement Management

  • Develop and implement annual procurement plans aligned with program needs.
  • Lead the tendering process: prepare RFQs/RFPs, evaluate bids, and recommend vendors.
  • Negotiate contracts and ensure value for money in all procurement activities.
  • Maintain and update supplier/vendor databases, ensuring due diligence and compliance checks.
  • Monitor procurement activities to ensure adherence to donor guidelines

Compliance & Documentation

  • Ensure all procurement transactions are properly documented and filed.
  • Prepare procurement reports for management and donors.
  • Conduct periodic audits of procurement files and supplier performance.

Vendor & Contract Management

  • Establish long‑term relationships with reliable suppliers.
  • Monitor supplier performance and resolve disputes.
  • Manage contracts, ensuring timely renewals and compliance with terms.

Coordination & Support

  • Work closely with finance and program teams to align procurement with budgets and activity plans.
  • Support logistics in coordinating delivery schedules and inventory management.
  • Provide technical guidance to procurement assistants and field staff.

Essential Qualifications & Skills

  • Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or related field.
  • Minimum of 3–5 years’ experience in procurement/logistics, preferably in NGO or humanitarian settings.
  • Strong knowledge of donor procurement guidelines
  • Proficiency in Microsoft Office Suite and procurement software.
  • Excellent negotiation, communication, and organizational skills.
  • Ability to work under pressure and meet tight deadlines.
  • High integrity, accountability, and attention to detail.
