Job Summary:
The Procurement Assistant will support the procurement team in sourcing, purchasing, and contract management. He/ She will gain hands-on experience in procurement processes, contributing to the organization\’s operational efficiency.
Key Responsibilities:
- Assist with procurement processes, including tendering and bidding
- Support contract management and vendor selection
- Maintain procurement records and databases
- Conduct market research and supplier identification
- Help with purchase order processing and invoicing
- Support procurement reporting and compliance
- Assist with inventory management and stock control
- Carryout all documents photocopying, scanning, archiving procurement files &reception of goods.
- Proper filing of all procurement documents.
- Sending a request for feedback regarding suppliers’ performance & update supplier files.
- Ensuring that all Supplies, services, and equipment required are delivered in time
- Expedite suppliers to ensure timely delivery of goods and services and address any delays or issues.
- Maintain and update the asset inventory, ensuring accurate record-keeping for office equipment and supplies.
- Ensure proper documentation and filling of logistics documents for easy retrieval and audit readiness.
- Support any assign task in the organization.
- Assist in data entry and updating databases, ensuring accuracy and completeness of information.
- Follow-up internally between the Procurement and Logistics department and the Finance department on procurement-related transactions.
- Support in the asset disposal process in accordance with organizational policies and procedures.
- Following the guidance of the procurement staff, to ensure that all fields’ goods, to be dispatched along with all the needed documentation (Waybill).
- Collaborate with suppliers to build and maintain good working relationships.
Job Requirement
- ND/Diploma, B Sc in Supply Chain Management, Economics and Business Administration.
- Basic understanding of operations and logistics management.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Good communication and interpersonal skills, with the ability to work as a team.
- Ability to manage multiple tasks and meet deadlines.
- Fluency in English required; knowledge of Hausa or local languages is an asset.
