GIZ has worked in Nigeria since 1974. From 2004, GIZ has maintained a country office in the capital city Abuja. Currently 361 national and 66 international employees, 19 regional staff, 4 integrated specialists and 3 development workers are working in the country (June 2020).
The Project:
Digital Solutions for Sustainable Development (DTC) Programme.
The Digital Transformation Center in Nigeria is a new project of the GIZ that aims to contribute to the improvement of the capacity of the Nigerian economy to implement digital innovations for growth, through supporting the digital transformation of the economy and society. To achieve this the project will work closely with Nigerian actors in the innovation ecosystem such as: National Information and Technology Development Agency, research institutions, innovation hubs, hub networks, start-ups, MSMEs, women. The activities will focus mainly on capacity building through promoting policy development and implementation and networking among digital ecosystem actor, providing coaching & training and advisory services.
Responsibilities & tasks:
A. Responsibilities
The administration officer:
- provides administrative and logistical support to the project efficiently to allow the smooth functioning of other operations and implementation of project activities,
- ensure the smooth and adequate flow of information within the project,
- organizes company records and maintains inventory of office supplies and equipment.
- supports the project in the procurement of goods and services, travel logistics, and maintaining the IT infrastructure in the project office,
- ensures compliance to GIZ Principles and Regulations (PuR) regulations,
- offers guidance and coaches Technical Advisors on administrative procedures relevant to their activities.
B. Tasks
The Administration Officer
- greets and directs visitors, answering phone inquiries and handling complaints in a courteous, professional manner,
- prepares and distributes communications and information, such as memos, emails, invoices, reports, and other correspondence,
- ensures the confidentiality and security of files and filing systems,
- coordinates schedules, arranging meetings and workshops,
- supports the project team in procuring goods and services according to GIZ guidelines.
- support the project management in ensuring compliance with GIZ rules and regulations,
- prepares contracts and maintains an overview and their status etc.,
- ensures office supplies are maintained, including checking inventory and working with vendors to always ensure adequate levels of necessary supplies,
- organizes travel logistics of staff, visitors, and consultants (arrange flight and hotel bookings, organize airport pickups, transport of materials etc.),
- maintains the ITC hardware and solve problems if need arises.
- supports the organization of project events and activities with respect to the administrative and logistical requirements (booking venue, arrange catering, registration of participants etc.)
organizes maintenance and repair activities within the property.
C. Required qualifications, Competences and Experience Qualifications
- A University degree in Business Administration, Economics, Finance, International Development, Political Science, Social Science, or any other related field.Professional experience
- At least 2 years in the field of administration,
- Not more than 3 years of general work experience.
- At least 1 years’ experience in the field of procurement and/or logistics,
- Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office),
- Knowledge on maintaining ITC hardware installations and problem solving,
- Knowledge of administrative procedures and systems, managing files and records, and other office procedures,
- Familiarity with Facility management,
- English language proficiency (written and oral).
Desired additional qualifications, competencies, and experiences
- Strong communication skills,
- good organization, time management and scheduling skills,
- Basic bookkeeping experience, especially in accounts payable/receivable,
- Ability to multitask and work well under pressure,
- Detail oriented and ability to work under minimal supervision and to show initiative and resourcefulness,
- Ability to work well within a diverse (culturally, ethnically) work community,
- A good team player who is willing to take on responsibility,
An analytical mind with problem-solving skills.
