Job Summary:
The HR Assistant will support the Human Resources department in the day-to-day administration of HR functions, including recruitment, personnel record-keeping, staff orientation, leave management, and compliance with CDHI’s HR policies and donor regulations. This position ensures smooth HR operations at both office and field levels while upholding confidentiality, transparency, and fairness.
Key Responsibilities
1. Recruitment and Onboarding
- Support in posting job advertisements, screening applications, and scheduling interviews.
- Assist in preparing employment contracts, offer letters, and onboarding documentation.
- Coordinate staff orientation and induction sessions for new employees.
- Maintain updated recruitment and personnel tracking spreadsheets.
- Ensure all recruitment processes are compliant with CDHI and donor policies.
2. Personnel Administration
- Maintain up-to-date employee records, both electronically and in hard copy.
- Track contract start and end dates, ensuring timely renewals or terminations.
- Maintain leave registers and ensure proper approval and tracking of annual, sick, and other leaves.
- Prepare and update staff lists, organizational charts, and contact directories.
- Support payroll processing by providing accurate staff data (attendance, leave, benefits).
3. Employee Relations and Welfare
- Assist in implementing staff welfare and recognition initiatives.
- Help address employee inquiries and concerns with professionalism and confidentiality.
- Support communication of HR policies, procedures, and code of conduct to all staff.
- Promote positive work culture, diversity, and team cohesion.
4. Compliance and Policy Implementation
- Ensure adherence to CDHI HR policies, labor laws, and donor HR regulations.
- Support the HR Officer during internal and external audits by preparing necessary HR documents.
- Maintain confidentiality of all employee information and sensitive HR matters.
- Promote compliance with CDHI’s Safeguarding and Protection from Sexual Exploitation and Abuse (PSEA) policies.
5. Capacity Building and Support
- Support training coordination for staff development, including logistics and attendance tracking.
- Keep training records updated and filed.
- Assist in planning HR-related events, such as performance appraisals and refresher workshops.
6. Reporting and Coordination
- Prepare HR activity reports (monthly and quarterly) for submission to the HR Officer or Manager.
- Liaise with field offices to ensure consistency in HR documentation and compliance.
- Support HR data entry, analysis, and reporting for donor and management use.
Qualifications and Experience
- Bachelor’s degree or Higher National Diploma (HND) in Human Resource Management, Business Administration, Management, or related field.
- Minimum of 1–3 years’ experience in HR or administrative support, preferably with an NGO.
- Basic understanding of HR principles, Nigerian labor laws, and recruitment procedures.
- Experience maintaining HR databases and personnel files.
- Good interpersonal, communication, and problem-solving skills.
- High sense of integrity, confidentiality, and professionalism.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Fluency in English and at least one local language (Hausa, Kanuri, or Fulfulde preferred).
- Willingness to travel occasionally to field locations.
