Background:
The International Society of Media in Public Health (ISMPH) is a registered Non-Governmental Organization established to mainstream the media as a potent tool to accelerate healthcare information and delivery in Nigeria.
ISMPH is currently seeking a qualified and passionate State Program Officer (SPO) to join our team in Kaduna. The SPO will play a key role in advancing public health media advocacy efforts, with a strong focus on Primary Health Care (PHC) and Reproductive, Maternal, Newborn, Child, and Nutrition (RMNCH+N) services.
Job Responsibilities
- Assist in drafting and posting job adverts on various platforms.
- Coordinate interview schedules and communicate with shortlisted candidates.
- Support onboarding processes including documentation, induction, and orientation for new staff.
- Maintain accurate and up-to-date employee records (both digital and physical files).
- Ensure confidentiality of HR data in compliance with organizational policies and data protection regulations.
- Track contract timelines, probation periods, and staff movement.
- Monitor daily attendance, staff timesheets, and leave requests.
- Maintain and update the leave tracker, ensuring proper documentation and approvals.
- Support the coordination of performance reviews and evaluations.
- Assist in identifying staff training needs and coordinating capacity-building sessions, especially in media and public health communication skills.
- Support in communicating and enforcing HR policies, procedures, and guidelines across departments.
- Contribute to the periodic review and update of HR policies in line with labor laws and donor requirements.
- Assist in organizing staff welfare programs and engagement activities.
- Respond to staff inquiries regarding HR matters and provide guidance where appropriate.
- Ensure HR practices comply with national labor laws and donor regulations.
- Support HR audits and reporting by preparing required documentation.
- Laise and ensure air/train tickets are booked with the travel agent on timely bases
- Ensure hotel bookings for events and meetings are done on time
- Provide clerical and administrative support to the HR/Admin Director.
- Assist with office logistics, procurement coordination, and supplies inventory as needed.
- Maintain an efficient filing system for both HR and administrative records.
Qualification:
- Bachelor’s degree in Human Resources, Business Administration, Social Sciences, or a related field.
- 2–4 years’ experience in HR or administrative roles, preferably in an NGO or health organization.
- Knowledge of HR functions and Nigerian labour laws.
- Strong record-keeping, organizational, and communication skills.
- Ability to maintain confidentiality and work well with a team.
- Proficiency in Microsoft Office and Google Drive.
