Job Description

  • We are currently recruiting a Guest House Manager for one of our clients (a UN Agency) and as such sought the service of highly competent, and skilled personnel to undertake the below responsibilities.

Purpose

  • The Administrative Assistant for the Guest house will play a pivotal role in ensuring the smooth operations and management of the guesthouse facilities.
  • Under the supervision of the Maiduguri Field Office Operation Officer, the incumbent is responsible for the smooth functioning of the guesthouses in line with the organization’s standards, including guest satisfaction, auxiliary staff management, facility maintenance, and administrivia tasks.

Responsibilities & Tasks

  • Supervise and coordinate all activities related to guest services, including check-ins, check-outs, and room allocations.
  • Ensure that guest inquiries, requests, and complaints are addressed promptly and satisfactorily.
  • Monitor and maintain inventory levels of guest supplies and amenities including fuel for generators.
  • Conduct regular performance evaluations and provide feedback to staff members.
  • Oversee regular maintenance and cleanliness of guest rooms, common areas, and outdoor spaces.
  • Coordinate repairs and maintenance work with external contractors as needed.
  • Ensure compliance with health, safety, and sanitation regulations.
  • Manage guest reservations, cancellations, and modifications using the designated WFP software or systems.
  • Prepare and maintain accurate records of guest transactions, invoices, and payments using the guesthouse platform.
  • Generate or prepare reports on occupancy rates, revenue, and expenses as required.
  • Monitor budgetary allocations and expenditures related to guesthouse operations.
  • Identify cost-saving opportunities and implement efficient resource management practices per UNICEF rules and regulations.
  • Manage rooms on lease for longer terms and ensure tenants are accommodated satisfactorily.
  • Manage room reservations in UNICEF guest houses or elsewhere in UNDSS-approved accommodations for staff on a mission to Maiduguri.
  • Ensure accounts are correctly charged, correct statements are provided, financial transactions are correctly recorded, and guest house services budgets are managed.
  • Ensure that contractors and service providers in charge of providing services at the guest houses are performing satisfactorily as expected. Manage all service contracts related to guest houses.
  • Check-in at the agreed-upon service provider agents clean all guest house bedrooms, common areas, and storerooms.
  • Ensure all equipment, materials, and lighting work correctly in the guest house.
  • Ensure maintenance and repairs are carried out promptly and satisfactorily.
  • All complaints, comments, special requests, and other business will be recorded in the daily handover log.
  • Ensure all guests’ lost properties are correctly reported and logged.
  • Ensure daily maintenance checks are carried out in all bedrooms and common areas, relaying any issues to the persons responsible.
  • Ensure clear communications with other admin units and other UNICEF sections to ensure minimal impact on guest service. Where applicable, ensure all monies are kept in a safe and secure area, adopting the guest house cash handling procedures.
  • Balance all financials at the end of the day and ensure cash collected is banked within 24 hours.
  • Continuously seek to improve the guest house’s efficient operations, understanding their house’s efficient operations and knowledge of their job functions.
  • Attend office meetings as required.
  • Always provide schedules as may be efficient and friendly service to guests, accepting flexible work schedules as necessary for uninterrupted service to guests.
  • Wear a presentable full uniform and duty badge when on duty.
  • Always ensure fire safety in the guest houses by following fire procedures.
  • Report on activities and data track and review critical data, including occupancy statistics, room inventory, and rate plans.
  • Comply with the organization’s policies, including security procedures.
  • Check-out of guests is recorded in the Issue of guest receipts for guest house revenue using the guest house platform.
  • Prepare monthly deductions for guests’ house residences from payroll for presentation to the Finance Section promptly.
  • Close the guest house monthly account and extend residence/guest stay on the platform as necessary.
  • Carry out any other ad hoc duties as the supervisor and all designated management.

Minimum Qualifications and Competencies

  • Completion of Secondary Education is required. A university degree in a relevant field is an advantage.
  • A minimum of 4 years of experience in the administration and management of guest houses with a national or international humanitarian organization is required. Proven experience in a managerial role within the hospitality of a hotel or guesthouse.
  • Knowledge of health, safety, and sanitation regulations applicable to guesthouse operations.
  • Managerial qualities, along with good organizational and initiative-taking skills.
  • Good professional communication skills, including the ability to provide outstanding customer service and maintain positive employee relations.
  • Ability to work in a fast-paced, stressful work environment.
  • Ability to use word processing and spreadsheet software.
