Job Summary

The Finance Assistant will provide comprehensive and efficient information and clerical and accounting services to assist the Finance team in Malteser International Maiduguri executing processes and delivering service needs that support high-quality programs serving the poor and vulnerable.  Under the direction of the Senior Finance Officer, you will deliver quality support, applying clearly defined accounting and financial reporting processes, procedures and service standards, including handling of petty cash box.

MAIN RESPONSIBILITIES

  • Update the payment tracker and share a weekly progress report of payments with the Program Administrator and line manager
  • Perform data entry for financial transactions recording, following confirmed validation by the authorized supervisory Finance staff.
  • Complete standard financial documents (vouchers, transfer requests, etc.) following a sample template with prescribed guidelines and circulate as needed.
  • Provide administrative and clerical support for financial transaction processing. Prepare, type, photocopy, and scan related documentation. File accounting and financial reporting documentation as instructed by the line manager.
  • Compile supporting documentation (liquidation/receipt package) to support processing of financial transactions. Communicate with staff, sub-recipients, partners, and suppliers to follow up on required documents.
  • Receive and dispense petty cash payments for daily labourers, per diems, and cash advances and coordinate proper retirement of accounting on a daily, weekly, monthly and annual basis.
  • Carry out any other task as may be required by the line manager.

QUALIFICATIONS AND SKILLS

  • Minimum of BSc in Accounting, Finance, Economics, or Business Administration.
  • Minimum of two years’ work experience in a similar role with some familiarity with standard accounting practices. Experience with an international organization is a plus.
  • Experience using MS Office packages, in particular Excel and Word. Hands-on experience with data entry into online databases and forms, including proven experience in various accounting software.
  • Excellent organizational and administrative skills with great attention to detail.
  • Time management and the ability to schedule tasks logically to complete assignments and meet deadlines.
  • Teamwork and collaborative skills.
  • Ethical conduct in accordance with recognized professional and organizational codes of ethics.
  • Proactive, resourceful, solutions-oriented and results-oriented.
  • Strong customer service ethic and abilities.
