Job Summary:
The Finance and Administration Assistant will provide day-to-day financial and administrative support to ensure smooth running of office operations and effective implementation of CDHI programs. This role involves supporting financial documentation, bookkeeping, procurement follow-up, logistics coordination, and general administrative duties in compliance with CDHI policies and donor requirements.
Key Responsibilities
1. Financial Management
- Support the preparation and documentation of financial transactions, ensuring accuracy and completeness.
- Review and process payment requests, petty cash, and staff advances in line with CDHI financial policies.
- Record daily transactions in cash and bank books, ensuring timely reconciliations.
- Assist in tracking project expenditures and prepare supporting documentation for donor reporting.
- Maintain an organized filing system for financial vouchers, receipts, and invoices.
- Ensure timely remittance of statutory deductions (PAYE, pension, NHF, etc.) where applicable.
2. Administrative Support
- Provide administrative and logistical support for meetings, workshops, and trainings.
- Support travel arrangements for staff, including bookings, itineraries, and per diem processing.
- Manage office supplies, inventory, and asset registers.
- Assist in maintaining staff attendance records, leave schedules, and HR documentation.
- Support communication with vendors, service providers, and partners.
3. Procurement and Logistics
- Assist in preparing purchase requests, bid analysis, and purchase orders in accordance with procurement policies.
- Ensure that all procurement documentation is properly filed and auditable.
- Liaise with the procurement officer to track delivery of goods and services.
- Support fleet management, including fuel tracking, vehicle logs, and maintenance follow-up.
4. Compliance and Reporting
- Ensure adherence to CDHI and donor financial and administrative procedures.
- Support internal and external audit processes by providing accurate documentation.
- Assist in preparing monthly financial reports and summaries for management review.
- Maintain confidentiality and uphold high ethical standards in handling financial and administrative information.
Qualifications and Experience
- Bachelor’s degree or Higher National Diploma (HND) in Accounting, Finance, Business Administration, Economics, or related field.
- Minimum of 2–3 years’ relevant experience in finance and administration, preferably in an NGO or development organization.
- Knowledge of accounting principles and donor financial compliance (USAID, UNICEF, ECHO, etc.) is an asset.
- Proficiency in Microsoft Office (especially Excel) and accounting software (e.g., QuickBooks, Sage).
- Excellent organizational, communication, and time management skills.
- High attention to detail, integrity, and confidentiality.
- Fluency in English and at least one local language (Hausa, Kanuri, or Fulfulde preferred).
- Willingness to travel occasionally to field sites.
