Coordinator, Grants & Contract at eHealth Systems Africa

eHealth Africa is focused on improving healthcare by creating effective ways to implement reliable health information management systems. Purpose of the position 

  • The Coordinator, Grants & Contracts jointly supports the planning and development of eHealth Africa (eHA) new business opportunities.  Overall responsibility is to assist eHA in the development, review, renewal, and submission of all project proposals through the identification of new opportunities, review of RFP terms, proposal kick off, management of timelines.

What you’ll do  

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

Post-Award Functions (50%)

  • Assist in the administration and management of awarded grants and contracts.
  • Ensure compliance with all grant and contract terms and conditions.
  • Assist in the preparation and submission of financial and programmatic reports to funders.
  • Manage sub-awards, including solicitation, pre-award, award, monitoring compliance, and processing amendments, reporting and close out.
  • Maintain accurate and up-to-date records of grant activities and sub-award agreements.
  • Monitor and report to the Senior Grants Manager about implementation and performance issues of program sub awards in coordination with the program and PSU team.
  • Assist the senior Grants Manager with the preparation of subaward memorandum and negotiation memorandum in collaboration with the programs team. 
  • Facilitate communication between program staff, finance, and external partners to ensure successful grant and sub-award management.
  • Ensure contract terms, conditions of solicitation, evaluation team recommendations and subcontract agreements are aligned. Ensures contract final terms and conditions meet eHA’s policies and procedures requirements. 
  • Adheres to Policies and Procedures.
  • Adheres to eHealth Africa Code of Conduct as well as ethical standards of the field.

Pre-Award Functions (50%):

  • Prepare budgets and various sections of cost proposals.
  • Review sub-grant and subcontract budgets and cost proposal materials prior to submission.
  • Oversee sourcing and verification of pricing information and unit costs.
  • Maintain well-documented records supporting pricing used in the development of proposals.
  • Compile and edit cost proposal inputs into cohesive and compelling content, including narrative, numeric, and graphic information.
  • Ensure cost proposals meet funder specifications and deadlines.
  • Conduct desk research on donor rules and acceptable costing methodologies for potential new multi-year, multi-million dollar opportunities.
  • Prepare supporting documentation for cost proposals, including budget narratives, certifications, and financial information.
  • Present draft proposal budgets for review and prepare briefings for the proposal team and executive team.
  • Assist in the development of budgets, pipelines, work plans, and forecasts in coordination with project teams.

  • Bachelor’s degree in Accounting, Business Administration, Economics, Public Administration or related field
  • Minimum of 4 years of professional experience
  • Knowledge of federal grant regulations and compliance requirements.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency in grant management software and Microsoft Office Suite.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong organizational skills and attention to detail.
