Job Purpose

The Admin Assistant will support project communications, participant coordination, logistics, documentation, administrative support and visibility activities necessary for the smooth implementation of the project.

Key Responsibilities

  • Support the planning and logistics of project activities, including venue arrangements, travel, accommodation and participant coordination for events in Abuja, Lagos, Kaduna and other part of the country.
  • Maintain accurate records of participant attendance, transportation and accommodation, and collect supporting documentation such as receipts and sign-in sheets.
  • Draft and manage project communications materials, including invitations, social media content and visibility materials in line with donor branding requirements.
  • Provide general administrative support to the project team, including filing, scheduling and correspondence.
  • Assist in compiling documentation for procurement processes, such as vendor bids and justification memos, in line with LEGIS360 policy.
  • Support the Program Officer in preparing activity reports, photo documentation and other materials for donor reporting.
  • Maintain organized digital and physical records of project documentation for audit and compliance purposes.
  • Assist with day-of-event logistics, including registration, materials distribution and troubleshooting on-site issues.

Qualifications and Experience

  • Bachelor’s degree or HND in Finance, Business Administration, Social Sciences or a related field.
  • At least 1-2 years’ experience in an administrative, communications or logistics support role, preferably in a civil society or project environment.
  • Experience supporting events or workshops, including logistics and participant coordination, is an advantage.

Skills and Competencies

  • Strong organizational skills and attention to detail, particularly in maintaining accurate records and documentation.
  • Good written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and comfort with social media platforms.
  • Ability to work under pressure and manage multiple tasks during event periods.
  • Willingness and ability to travel within Nigeria as required by the project.
