Background

Center for Child Care and Human Development (C3HD) is a Child Centered and Women Focused (CCWF) non-governmental, non-tribal, non-religious and non-profitable organization established and registered with state in 2017 and later registered as a non-profit organization with Corporate Affairs Commission (CAC).

C3HD was established to respond to the needs of the most vulnerable communities and especially women and children, people with disabilities and those affected by conflict and insurgency through maximizing contributions to Health care and wellbeing, Education, WASH, Gender, social and disability inclusions, Protection, Peace Building, and Economic recovery and Livelihood.

C3HD is striving for an all-inclusive community and human development for all, including populations who are marginalized, underserved or affected by conflict or insurgency, catering to their health and wellbeing. We have a mission of transforming the lives women and children on the edges of society and help them regain and pursue their dreams for sustainable development.

C3HD acts as an agent for change. For 5 years and in 4 states (Yobe, Borno, Adamawa and Kano States), we help women and children to overcome the massive problem they face through reducing

inequality in accessing health services and education, responding to violence and exclusion, promoting food security, empowerment, peace and resilience building of communities to be able to withstand and respond to future hardships. We employ “the protective communities’ approach” to our programming’s by mainstreaming safeguarding and protection in our activities.

Qualifications:

  • Bachelor’s degree, Higher National Diploma (HND) or Diploma in Business Administration, Public Administration, Logistics & Supply Chain, Management, or any related field.
  • Additional training in procurement, logistics, asset management, or humanitarian supply chain is an added advantage.
  • Strong computer skills (MS Word, Excel, PowerPoint; experience with procurement/asset management systems is an advantage).
  • Knowledge of administrative procedures, storekeeping, and basic financial documentation.

Experience

  • Minimum 1–3 years’ experience in administration, logistics, or procurement support, preferably with an NGO/INGO or private sector organization.
  • Experience in fleet management (vehicle tracking, fueling, logbooks, driver coordination).
  • Experience in managing office assets, consumables, inventories, and service contracts.
  • Experience in organizing travel logistics, hotel bookings, meeting arrangements, and event support.
  • Experience working in Northeast Nigeria or similar humanitarian settings is an added advantage.
  • Familiarity with donor compliance, procurement procedures, and accountability standards (including AAP, PSEA, safeguarding).

Key Responsibilities

  • Ensure smooth day-to-day administrative operations of the Maiduguri office.
  • Manage office supplies, stationery, refreshments, and ensure timely replenishment.
  • Support in scheduling meetings, taking minutes, preparing attendance sheets, and organizing staff engagements.
  • Maintain updated staff contact lists, notice boards, and administrative files.
  • Support HR processes such as leave tracking, document filing, and orientation of new staff when needed.
  • Assist in the procurement process by collecting quotations, preparing bid comparison sheets, and ensuring documents meet internal and donor standards.
  • Support logistics planning for field missions, trainings, meetings, and program activities.
  • Maintain procurement tracking sheets and update supervisors regularly.
  • Support receiving deliveries, checking quantities and quality, and processing GRNs (Goods Received Notes).
  • Support vehicle scheduling, movement plans, and daily coordination with drivers.
  • Maintain accurate vehicle logbooks, fuel consumption records, and maintenance schedules.
  • Monitor vehicle conditions and ensure timely service, repairs, and documentation.
  • Support in ensuring all trips follow security protocols.
  • Maintain updated asset and inventory registers for all office and field locations.
  • Conduct periodic stock checks, asset tagging, and documentation of asset movements.
  • Ensure safe storage and handling of program materials, equipment, and supplies.
  • Report any damages, losses, or discrepancies to the supervisor immediately.
  • Support maintenance of office premises, utilities, generators, furniture, and equipment.
  • Coordinate with service providers (cleaners, guards, technicians, suppliers, repair agents).
  • Ensure office cleanliness, safety, and availability of essential working materials.
  • Ensure proper filing of all administrative, logistical, procurement, and fleet documents.
  • Prepare weekly and monthly administrative and logistics reports.
  • Support audit exercises by providing required documents and clarifications.
  • Ensure all administrative and logistic activities comply with organizational policies and donor guidelines.
  • Promote safeguarding, confidentiality, and PSEA standards in all interactions.
  • Support accountability activities such as feedback collection, documentation, and referrals where relevant.
